Staff & roles

Give each person on your team exactly the access they need — no more, no less — and let new hires rehearse before their first real shift.

Invite your team

  1. Open Staff and add a person with their email.
  2. Pick a role — this decides what they can see and do.
  3. They sign in with their own login; you can remove access any time.

What each role can do

  • Owner — full access, including billing and granting the manager role.
  • Manager — day-to-day running: staff, menu, reports, and settings, but not ownership-level controls.
  • Cashier / waiter — the POS to take orders and payments.
  • Kitchen — the kitchen display only.
Only the owner can promote someone to manager. This keeps control of your account with you.

Training mode

New staff can practice on Training — it looks and works just like the real POS, but nothing they do creates a real order, payment, or kitchen ticket. It’s the safe way to learn the flow before a busy service.

  1. Send a new hire to Training and let them ring up practice orders.
  2. Managers can see who practiced and for how long, so you know a person is ready.

More than one branch

If you run several locations, staff access is set per branch, so a person only sees the branch they work at. Owners and managers can switch between branches from the top bar.

HR (optional)

Beyond access, FoodFlow can track attendance, schedules, leave, and payroll under HR— useful once your team grows. It’s there when you need it and easy to ignore until then.
